Managing team members and roles

Learn about Guest, User, and Admin roles in Superads, how to invite your team, and how to give clients the right level of access.

Every person you add to a Superads workspace gets one of three roles.

Understanding the difference helps you give your team the right access and keeps your clients from seeing more than they should.

The three roles: Guest, User, and Admin

Guest

Guests have read-only access to the workspace. They can view reports and boards, but can't make any changes. They also can't see other workspaces in your organization, which makes the Guest role a good fit for clients or external stakeholders who should only see their own data.

User

Users can view and edit reports, boards, and custom breakdowns. They can also see the other workspaces in your organization (though they can only open the ones they've been given access to). This is the right role for most team members.

Admin

Admins have full control of the workspace and the organization. On top of everything a User can do, Admins can invite and remove members, change roles, connect ad accounts, and manage the subscription. Assign this role only to people who should have full control over the account.

💡 Tip: For most agencies, the setup is: Admins are your internal leads, Users are your team members, and Guests are your clients.

How to invite someone to your workspace

You need to be an Admin to invite people. Here's how:

Go to Settings

Click your workspace name in the top-left corner, then select Settings.

Open the Members tab

Click Members in the left sidebar to see everyone currently in the workspace.

Click 'Invite member'

Enter the person's email address and select the role you want to assign them: Guest, User, or Admin.

Send the invite

They'll receive an email with a link to accept. Once they accept, they'll appear in your members list.

ℹ️ Note: The invite link expires after 7 days. If someone didn't receive the email, ask them to check their spam folder, or resend the invite from the Members page.

How to change someone's role

Only Admins can change roles. To update someone's role:

Go to Settings > Members

Find the person

Use the search bar if your team is large.

Click the role selector next to their name

Choose the new role from the dropdown: Guest, User, or Admin.

The change takes effect immediately

The person doesn't need to log out or do anything on their end.

How to give a client access to reports

Clients don't need a Superads account to view reports. The simplest way is to publish a report or board and send them the link. If you'd prefer they have a login, you can also add them as a Guest.

Option 1: Share a published link (recommended)

Publish any report or board and send your client the URL. They can open it in any browser, browse the data, and adjust the date range without signing up or logging in. They can't edit anything or see any other part of your workspace.

Open the report or board you want to share

Click the share icon at the top right

Click 'Publish' and copy the link

Send this link to your client. It stays live until you unpublish it.

💡 Tip: Publishing a board (which groups multiple reports together) gives clients a full overview of their results in one link, with no login required.

Option 2: Add the client as a Guest

If your client prefers to log in and browse reports themselves, you can invite them to the workspace as a Guest. They get read-only access to that workspace and won't see any of your other workspaces in the organization.

Follow the steps in the 'How to invite someone' section above and select Guest as the role.

ℹ️ Note: Guests still need a Superads account to log in. For clients who just want to view data without signing up, the published link is the easier option.

How to view and manage your organization's workspaces

All your workspaces live under a single organization. You can get an overview of all of them, see who has access to each one, and request access to workspaces you're not yet part of.

Viewing your organization's workspaces

  • Go to Settings, then click Org Workspaces in the left sidebar

  • You'll see all the workspaces in your organization, along with who has access to each one

  • From here you can also request access to a workspace you're not yet part of

Accessing organization settings

To update your organization's name, logo, or other settings, click the three-dot menu on the workspace selector in the top-left corner and select Organization Settings.

ℹ️ Note: Only Admins can access Organization Settings and make changes there.

Why is someone showing as Guest when they should have more access?

There are a couple of reasons this can happen:

They were added as Guest by mistake

The most common cause. Check Settings > Members and update their role to User or Admin using the role selector.

Their email domain doesn't match the organization

When someone is added from an email domain that differs from the rest of the organization, they may be assigned Guest access by default as a security measure. A workspace Admin can update their role at any time from Settings > Members.

⚠️ Important: If you're trying to update your own role but you're currently a Guest, you'll need an Admin in the workspace to change it for you. Check with whoever manages the account.
